Clinicians start from home, patients have narrow windows, and visit lengths vary from a 20-minute check to a 90-minute admission. StopHarbor plans the day around those constraints.

Start where the clinician starts

Most home visit staff never stop at an office. Give each clinician their own start address and finish address. Routes, mileage and arrival times are calculated from their door, which also makes mileage estimates more useful for reimbursement review.

Windows and visit length

Enter each visit's window and expected minutes. Routes are planned to arrive inside windows, waits are shown, and late arrivals are flagged before the day starts. A visit that cannot fit is listed with the reason, so a coordinator can reassign it deliberately.

Privacy-minded by design

Use first names or visit codes as stop names; you decide what is entered.
Plans sit behind sign-in with workspace roles: owner, admin, planner and viewer.
Crew links show one clinician's stops only, expire after seven days and can be revoked.
Account data can be exported or deleted from settings.

Important limits

StopHarbor is a general route planner, not an EVV system, EHR or HIPAA-covered clinical system, and it does not sign business associate agreements. Do not enter diagnoses or clinical details. Agencies that need to route identifiable patient data should confirm their compliance requirements before use.

A typical coordinator's morning

Import the day's visits from your scheduling export, check that every visit has its window and expected length, and optimize. Review each clinician's finish time and any visits listed as not fitting. Move a visit to a clinician with a lighter day by pinning it, optimize again, then send each clinician their link. Notes the clinicians add, such as "patient asked to move next visit to afternoon", come back to the coordinator.

Questions

Is StopHarbor HIPAA compliant?

StopHarbor does not sign business associate agreements and is not designed to store protected health information. Keep stop names and notes non-clinical, for example initials and access instructions.

Can each clinician start from home?

Yes. Each worker can have their own start and finish address, leave time and stop limit.

Does it record visit times for EVV?

No. Crew links record done or skipped with a note, which is useful for coordination but is not electronic visit verification.
